Songsmai
An enterprise uniform ordering platform that lets employees at large client companies submit their own sizing and orders directly, at scale.
The Challenge
Songsmai supplies enterprise uniforms to large corporate clients, some with over 1,000 employees needing individual sizing. Collecting that sizing data manually, through spreadsheets sent back and forth with each client, was slow and labor-intensive at that scale.
It also broke down under its own volume. As clients collected more sizing data over time, Songsmai would end up with multiple, overlapping versions of the same spreadsheet, and every new submission had to be manually checked against existing orders to catch duplicate entries.
Why a Custom Build
Songsmai was taking on larger and larger orders, and a new bank client required this kind of ordering platform as a condition of the engagement. Songsmai had built a similar platform once before with another developer for an earlier bank client, but that version's workflow wasn't intuitive and couldn't scale to serve multiple clients at once.
Rather than reuse that platform, Songsmai chose Chana Software specifically for the combination of business and development background needed to navigate the project independently, with limited guidance available on their side due to resource constraints.
What We Built
The Songsmai enterprise uniform ordering web application is a self-service ordering platform built to replace manual, spreadsheet-based sizing collection. Employees at a client company create their own account, linked to their email, and work through a sizing guide before confirming their uniform order themselves.
On the Songsmai side, orders come in through a single system instead of scattered spreadsheet versions, removing the need to manually cross-check new submissions against existing orders for duplicates.
How We Worked
Notion served as the project hub throughout the build, with tags and nudges keeping features moving through review as soon as they were ready. Alongside each feature, we recorded videos walking through and testing the functionality so Songsmai could see exactly how things worked without needing to dig through the app themselves.

Outcome
The platform is complete and Songsmai is now gearing up for launch with their bank client.
Looking Ahead
The next step is rolling the platform out to over 6,000 employees, who will each create an account, work through the sizing guide, and confirm their own order.
